If your VA can’t confidently explain why they’re using a particular objective and how it aligns with your business goals, that’s a red flag.
2. How are you testing and optimizing our ads?
Running the same ad for months without testing different elements is a surefire way to waste money.
Your VA should be testing multiple creatives, copy variations, and audience segments to find the winning combination.
If they’re just setting up ads and letting them run without regular testing and adjustments, you’re likely leaving money on the table.
3. What’s our cost per lead (CPL) or cost per acquisition (CPA), and how does it compare to industry benchmarks?
Numbers don’t lie.
If your VA isn’t tracking and analyzing key performance metrics, they’re flying blind. They should know your CPL, CPA, and return on ad spend (ROAS) like the back of their hand – and be able to tell you whether those numbers are competitive or need improvement.
When I take over managing ad accounts, I see way too often that ads have been running to generate leads, but the CPL was way too high because the wrong objective was chosen – and the VA wasn’t even tracking the CPL.
In one recent account, the CPL was over $30 per lead. All I did was change the objective in a new campaign, using the same ad creative, and the CPL was reduced to $4.85.
A simple tweak, but a massive difference in results.
They should know your CPL, CPA, and return on ad spend (ROAS) like the back of their hand – and be able to tell you whether those numbers are competitive or need improvement
4. How often do you stay updated on changes to the Facebook™ & Instagram™ ads platform?
Facebook™ changes constantly. New features roll out, strategies shift, and what worked last year (or even last month) might not work today.
If your VA isn’t plugged into a network of ad strategists, attending training, or actively managing multiple ad accounts to test strategies, they could be using outdated methods that aren’t delivering the best results.
5. Are we analyzing our funnel and tracking long-term results to determine what’s driving paying clients?
Ads don’t work in isolation.
They’re just the entry point into your marketing funnel.
If your VA is only looking at ad performance without assessing how leads are converting further down the funnel, they’re missing the full picture.
Are they tracking what percentage of leads turn into paying clients?
Are they ensuring your landing pages, email sequences, and sales processes are converting above industry standards?
If not, you could be spending money on ads that generate leads but don’t translate into revenue.

Managing ads in-house often makes sense for businesses.
It can be more cost-effective, and your internal team has quicker access to marketing materials, making campaign execution more seamless.
